Health and Safety Audit Support – Achieving Compliance and Employee Well-being

In January 2024, I was approached by a client who had recently undergone a comprehensive health and safety audit for their business, which operates across two offices. The audit had been carried out by a specialist consultant, resulting in an extensive report that included over 50 action points across various critical areas of health and safety.

While the audit provided valuable insights, it left the director feeling overwhelmed by the volume of work required to address each point. With an already demanding schedule, the director simply didn’t have the time to manage all the actions while ensuring the business remained compliant, safe, and that staff welfare was maintained.

The audit highlighted several key areas that needed attention, including:

  • Fire Safety: Ensuring fire exits were clearly marked, fire drills were up to date, and that fire extinguishers were properly maintained and placed in accessible areas.
  • First Aid: Reviewing first aid kits and ensuring an adequate number of trained first aiders were available.
  • Risk Assessments: Identifying potential hazards and ensuring all risk assessments were thorough, current, and relevant to the business’s activities.
  • Training: Ensuring all staff had received the necessary training, including manual handling, machinery safety, and emergency procedures.
  • COSHH Assessments (Control of Substances Hazardous to Health): Verifying that hazardous substances were properly stored, labeled, and that employees were trained to handle them safely.
  • Accident Reporting: Establishing or refining processes for documenting and responding to accidents or near misses.
  • Emergency Lighting: Ensuring emergency lighting systems were operational, with clear pathways to exits in case of an emergency.
  • Health Screening: Providing health screenings to employees, where necessary, to monitor their well-being in relation to work-related risks.
  • PPE (Personal Protective Equipment): Assessing the adequacy of PPE provision, ensuring that staff had the right equipment and knew how to use it properly.

How I Helped

Recognizing the urgency of addressing these issues, the director sought my help in managing and executing the required actions. Over the course of the next 12 months, I collaborated with both the management team and staff to systematically work through the action points.

The first step was prioritizing the action points based on risk level and compliance deadlines. We then developed a clear, structured plan that allocated responsibilities, set realistic timelines, and established a process for monitoring progress. This was essential to ensure that improvements were made in a timely manner, without overwhelming the team.

Some of the specific interventions I carried out included:

  1. Fire Safety Measures: Worked with facilities management to ensure fire drills were scheduled and conducted regularly, with all employees participating. Fire exits were inspected and signage was updated to meet current regulations.
  2. COSHH and PPE Compliance: Conducted a thorough review of all hazardous substances used in the business. I ensured that COSHH assessments were updated and that employees received necessary training on safe handling procedures. PPE was reviewed, and I helped ensure it was correctly distributed and properly used.
  3. First Aid and Health Screening: Organized training for additional first aiders across the offices and ensured first aid kits were fully stocked. I also helped the company put in place a basic health screening procedure for staff working in roles with potential exposure to physical strain or hazardous materials.
  4. Training and Risk Assessments: Collaborated with department heads to ensure that all employees received required training, particularly for roles involving machinery or manual labor. Risk assessments were updated to reflect any changes in working conditions, and I helped implement more robust reporting mechanisms for any incidents or hazards.
  5. Emergency Lighting and Accident Reporting: Ensured that emergency lighting systems were tested regularly and provided feedback on any changes needed. Accident reporting systems were streamlined, ensuring that all incidents, no matter how minor, were logged and addressed swiftly.

Throughout the year, I worked closely with the director and other stakeholders to ensure that the safety measures were implemented and maintained. The director, although busy, was able to rest easy knowing that progress was being made, and the well-being of the team was being prioritized.

Results and Impact

When the 2025 audit was carried out, the results spoke for themselves. The number of outstanding action points had been reduced from over 50 to just 8. While I didn’t quite reach a perfect score (I will admit I was hoping for 0), the improvements were undeniable. What’s most important is that the business is now much safer than it was 12 months ago.

The measures we put in place have created a more secure work environment where employees feel safer, knowing that their well-being is a priority. The director, too, now has a clearer understanding of where health and safety stands within the company and how it directly impacts staff morale and productivity.

The success of this project goes beyond compliance – it has fostered a culture of safety and responsibility that will serve the business long-term. With the director now able to devote more time to strategic decisions, health and safety compliance is no longer a worry but an integral part of the company’s operations.
